Position Overview We are seeking an enthusiastic, experienced, and highly organized Internal Event Planner to plan, coordinate, and execute a wide range of company events — from local team meet-ups and training workshops to national conferences and international retreats. This remote position is ideal for a self-motivated professional who can work independently, think creatively, and deliver polished, well-executed events that foster connection, learning, and community across our travel network. The successful candidate will manage the full event lifecycle — from concept development and sponsorship coordination to vendor management, logistics, and on-site execution. This position will involve travel across Canada and occasional international trips throughout the year. Key Responsibilities 1) Event Planning & Coordination Plan, coordinate, and manage a variety of in-person and virtual events, including: “Social Connects” (bowling nights, paint parties, axe-throwing, team dinners, etc.) Annual International Conference (flights, hotels, site inspections, workshops) Winter Bash Christmas Parties (held in Alberta and Ontario) Biannual Retreats (for top producers, management teams, and expert training workshops) “Learn How to Become a Certified Travel Agent” in-person and virtual workshops across Canada Consumer Trade Events such as the Romance Travel Show and Group Travel Expo 2) Logistics Management Source, negotiate, and secure venues across Canada (hotels, boardrooms, meeting facilities, restaurants, and activity spaces). Coordinate A/V, food & beverage, room layouts, and floor plans. Manage supplier contracts, insurance, and venue requirements. Oversee setup, tear-down, and smooth operation of all live events. Arrange travel and accommodations for speakers, staff, and guests when applicable. Oversee budgeting for events, ensuring all expenses are tracked and managed effectively. Utilize strong time management skills to meet deadlines and manage multiple projects concurrently. Maintain detailed records of event contracts, vendor agreements, and other essential documentation. 3) Sponsorship & Partner Relations Secure co-op sponsorship funding from travel partners, suppliers, and tourism boards. Manage exhibitor/sponsor logistics for trade shows and supplier events. Maintain positive, professional relationships with partners, vendors, and team members. 4) Marketing & Registration Develop and manage online RSVP and registration forms (e.g., Google Forms, Eventbrite, and CRM tools like forms with Hubspot). Monitor responses and maintain detailed event attendance records. Coordinate event marketing materials — printed programs, signage, banner stands, décor, and branded collateral. Liaise with the marketing team to promote events via email and social media. 5) On-Site & Virtual Event Execution Act as the lead on-site event manager to ensure seamless execution. Oversee registration desks, vendor setup, attendee coordination, and technical operations. Provide leadership and problem-solving under pressure to ensure events run on time and exceed expectations. Support occasional virtual event facilitation (Zoom, webinar platforms, etc.). Qualifications & Skills Minimum 3–5 years of professional event planning experience, preferably within the travel, hospitality, or corporate events industry. Proven ability toplan and execute multi-location events (small social gatherings to large conferences). Strong negotiation and vendor management skills. Excellent communication and interpersonal skills. Creative thinker with exceptional attention to detail. Able towork independently and manage multiple projectssimultaneously. Strong understanding of event budgeting, sponsorship coordination, and logistics. Proficient in Google Workspace, Microsoft Office, and event management tools (e.g., Eventbrite, Canva, Zoom). Willingness and ability to travel across Canada and occasionally internationally. Background in Marketing is a BIG bonus. Working Conditions Remote position (based anywhere in Canada). Must be available for travel (approximately 20% of the time). Evening and weekend hours may occasionally be required for events. Reports to the CEO, working closely with internal teams and external partners. Compensation Competitive salary commensurate with experience. Travel expense coverage for event-related trips.
