Overview

We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our administrative functions. This role is vital in supporting daily office activities, managing communication channels, and maintaining efficient clerical workflows. The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to their work, contributing to a positive and productive office environment.

Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools
Maintain organized filing systems, both electronic and paper-based, ensuring easy retrieval of documents
Assist with bookkeeping and basic QuickBooks accounting processes to support financial record-keeping
Provide exceptional customer service by responding promptly to inquiries and supporting clients or patients as needed
Support administrative tasks such as proofreading correspondence, scheduling appointments, and managing calendars
Handle clerical duties including copying, scanning, faxing, and maintaining office supplies
Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks or similar bookkeeping software is preferred
Excellent computer skills with the ability to perform data entry efficiently and accurately
Prior experience in a customer service or front desk role, ideally within a medical or dental office setting
Strong phone etiquette skills with experience managing multi-line phone systems
Ability to multitask effectively while maintaining professionalism and accuracy in all tasks
Knowledge of medical or dental office procedures is a plus but not required
