Position Overview

This is a full-time position, working 40 hours per week for Ski Marmot Basin. The ideal candidate should enjoy the mountain lifestyle offered in Jasper, while possessing excellent problem-solving, sales and organizational skills.

This role actively seeks new group business while handling existing bookings and managing the process from initial contact and coordination to follow up completion. Liaising with Marketing, Snow Sports School, Rentals, Guest Services & Finance, the Group Sales Supervisor will ensure the smooth flow of all events and group activities. This role will primarily manage all existing group clients while developing new group business, maximizing group sale potential for Marmot Basin.


Key Responsibilities


Group Sales Account Management / Reservations
Answer telephones calls and email inquiries.
Development and execution of mail, email, and phone campaigns
Ensure all customer complaints are addressed and handled professionally, leaving the customer with a positive resolution.
Manage and facilitate scheduling for all group bookings, VIP customers, Lift passes, Rentals, Lessons, F & B, Transportation, Hotel distribution if required.
When required, sell window tickets, lessons, rentals, F&B and understand discounts, promotional coupons, voucher types and the billing process for third (3rd) party companies
Handle cash, credit/debit transactions while using a Point-of-Sale System with policies and procedures that apply
Complete all invoicing requirements and account cross checking
Ensuring all pricing is accurately set up on Point-of-Sale Systems (RTP ) for billing purposes

Follow up on completed visits – customer care & building relationships
Other duties as assigned or required.

Administrative Coordination

Ensuring interdepartmental cohesion and coordination is maintained through producing and circulating company-wide overviews and updates
Maintain accurate records on database; updating contact information, visit details, notes, or feedback
Track sales and business contacts
Seasonal Reporting and end of season evaluation
Development and maintenance of departmental procedures, safety, and operations manuals and associated sales and customer booking forms.
General office duties such as filing, cleaning, inventory count, etc.
Leadership

Directly supervising Group Sales Agents (2x staff)
Providing support and cross departmental training to other teams manning the customer service desks
Staff training
Attend and contribute to weekly Revenue Management meetings, Department Head Meetings, Food and Beverage meetings, Sales and Marketing Meetings as well as Mountain Operations and Events meetings
Conduct weekly sales center meetings for all departments (group sales, snow school, and rentals) and conduct weekly group sales team meetings
Oversee the communication of all events and projected and budgeted visits to all departments on weekly basis
Team leadership, guidance and performance management as well as staff scheduling with Dayforce HCM (Ceridian)
Streamlining procedures and policies through-out departments and ensuring proper documentation is in place
Attend and contribute to weekly Revenue Management meetings, Department Head Meetings, Food and Beverage meetings as well as Mountain Operations and Events meetings

Special Events

Assist the Special Events Supervisor with administration of the following:

Coordination of Alpine Races and Training
Ensure invoices and coaching tickets are prepared
Support Event Management
Event idea > Implementation > Event Details > Website/Social Content > Mountain Logistics
Coordination of Film Shoots
Certificates of Insurance?
Parks Permission Letters?
Waiver creation and retrieval

Community Relations / Outreach

Facilitate Familiarization (FAM) trips – Tour operators, Media, Influencers
Ability to assist Marketing in tradeshow and teacher convention attendance?

Key Strengths and Qualifications

Business/Tourism related diploma or equivalent experience
Strong project management skills and the ability to manage several projects and deadlines at once
Fluent in English with excellent communication skills – verbal and written
Strong customer service, sales and negotiation skills
Must be able to develop and maintain relationships via telephone, email and in person
Ability to deal with high pressure situations I.e. unsatisfied customers and multiple events happening at once
Ability to work with multiple departments to ensure consistency of information
Strong supervisory and leadership skills as well as confidence in quick decision-making
Quick learner with knack for technology
Eye for quality and attention to detail
Experienced in data management, financial administration and report processing
Expertise with Microsoft Office, Adobe Acrobat Pro, Project Management Tools, Google software’s to create advanced reports and electronically fillable reservation forms
Goal-oriented self-starter with a high level of motivation, organization, productivity and integrity
Team player with strong interpersonal skills – comfortable working in a small team and across different departments
Passion for skiing, the outdoors and mountain lifestyle

Group Sales is a reliable resource that collects information and distributes information company-wide.

The Group Sales Team will get to know the locals though the corporate pass program as well as take care of many of our ‘special guests’ that visit the mountain for site familiarization (FAM) visits. The regional volunteer patrollers, race coaches, Parks Canada employees and return group leaders become friendly faces on a first name basis.
