Group Sales Supervisor

SUMMARY
This is a seasonal role running from Oct through to May.
5 x 8hr shifts per week.

The first 90 working days of employment is a probationary period.
The Sales and Event Coordinator is part of the Sales Centre & Marketing Team and works with the front line staff in customer service. Working directly with the Group Sales Supervisor, this role liaises with Marketing, Snow Sports School, Rentals, Guest Services & Finance to ensure the smooth flow of all events and group activities. This role will primarily be responsible for first point-of-contact with guests via telephone or email inquiries, provide business package and product information to potential guests to maximize sales through the coordination of existing products for Marmot Basin.
A DAY IN THE LIFE OF A SALES and EVENT REPRESENTATIVE
Group Sales primary roles and responsibilities involve coordinating School/Youth or Adult Group Bookings. This includes coordinating their visit from rental reservations, confirming lessons and at times processing lunch reservation forms. Alongside Parks Canada we also run a Marmot Learning Centre Package that offers a further discounted group rate and an educational information session chosen from four different topics. Marmot Basin Group Sales also assist in planning International UK and Australia school groups who typically arrive in December, February and April. It sounds overwhelming but when you have the support of your supervisor, colleagues and other departments, as a team, everyone does their part to ensure success.
In Group Sales you also work closely with the Marketing and Special Events team to assist in planning and executing events and activities on the mountain. During the 2020-2021 season we took our competitions digital and introduced Trivia Surveys, Epic Edit Video Competitions, Family Friendly ‘Munchie’s Animal Adventure’, Themed Dress Up Parties, and a Marmot Memory Story Competition.
Whilst we have the bigger projects and events we can’t forget our daily tasks that include; checking our emails, answering enquiries, booking corporate passes and providing tickets to those in our Member ID program who receive 15% off lift tickets, sending tickets to hotels, processing regional tour operator orders, creating and distributing correspondences.
Group Sales is a reliable resource that collects information and distributes Marmot Basin Daily Updates and Weekly Schedule of Events company wide to keep the entire team up to date with our current events and internal/external updates as well as staff incentives.
We get to know the locals though our corporate pass program as well as take care of many of our ‘special guests’ that visit the mountain for site familiarization (FAM) visits. The regional volunteer patrollers, race coaches, Parks Canada employees and return group leaders become friendly faces on a first name basis.
No day is the same and if you are someone who is able to adapt in fast-changing environments and be quick on their feet, this is a role for you. (MUST LIKE COFFEE, EGGSKI SANDWICHES AND SHRED THE GNAR)

JOB DUTIES

Sales Account Management
Answer telephones calls and email inquiries
Cold Calling
Ensure all customer complaints are addressed and handled professionally, leaving the customer with a positive resolution
Working with Group Sales Supervisor & Marketing Team to facilitate all Bookings:
Regional/International School & Youth Groups
Adult Groups
Corporate Groups
Regional Wholesale Rates / Tour Operator Groups
Select Hotel Lift Ticket Packages
Complete all invoicing requirements where necessary
Ensuring all pricing is accurately set up on RTP and Siriusware for billing purposes
Checking all booking requirements are met
Lift passes / Flight tickets
Rentals
Lessons
F & B
Transportation
Hotel distribution if required
Manage all direct reservation requests
Coordinate & manage corporate pass requests at Marmot Basin
Management VIP / COMP tickets and coordination
Follow up on completed visits – customer care & building relationships

Administrative Coordination
Coordinating other department’s input and capturing company wide requests to collaborate and inform.
