Reporting to the Site & Seniors Health Manager / NZ Clinical Education Lead, this position provides moderately complex administrative and confidential support to the site and various departments as required, including: Meeting coordination, prepare documents and reports, record and distribute minutes for four committees. Site telehealth coordinator, including managing Telehealth Room calendars. Site contact for staff accommodation. File maintenance including site Admin, HR and medical staff files. Maintain and update site emergency / disaster planning documents. Research and generate standard reports as required. Payroll timekeeper and recruiter. Communicate of information to staff and clients. Provide absence coverage for the duties of the 1.0 Administrative Assistant position.

Required Qualifications: 
Completion of some post-secondary education (e.g. course(s) in Office or Business Administration, Medical Office Assistant). Minimum of five years working administrative support position. Strong knowledge and operation of Microsoft Office suite including Outlook, Word, Publisher and Excel. Excellent keyboarding skills. Good judgment and understanding of confidentiality. Excellent communication skills, both verbal and written.

Additional Required Qualifications: 
Experience in maintaining and trouble-shooting all forms of office equipment. Ability to work with frequent interruptions. Ability to produce high quality of work. Self-motivated, self-directed, critical thinking skills. Ability to work independently, and as part of a team. Above-average organizational skills and time management skills. Demonstrated flexibility, willingness and ability to readily adapt to new situations and change. Ability to recommend and implement changes to procedures or practices when required.

Preferred Qualifications: 
Professional manner in situations requiring conflict resolution, trouble-shooting. Ability to maintain a professional attitude while exercising judgment, tact, diplomacy and discretion when dealing with highly sensitive and confidential issues. Demonstrated problem-solving and decision making skills to anticipate, identify and recommend appropriate responses to complex administrative issues. Ability to competently handle changing priorities with tight timelines.
